Accounting app

A clinic keeps two records of the same day: the patients it has seen and the money they owe. Held in separate systems, the two are joined up by hand at the end of the month and argued over at the end of the year. In VeriPath Health Clinics they are one record — the clinic app raises the charge, and the books take it from there.

A full set of books, not a billing screen

The accounts run on ERPNext, and the clinic gets bookkeeping software in its own right rather than a report bolted to the diary: sales invoices and supplier bills, payments in and out, journals, bank reconciliation, customers and suppliers, and the statements a business is expected to produce — profit and loss, balance sheet, trial balance, general ledger, the sales and purchase registers, debtors and creditors, cash flow. Any figure can be followed back to the document that produced it.

Built for a clinic, in sterling

The chart of accounts is a UK healthcare one before the clinic touches it — consultation income, procedure fees, insurer receipts, money owed by patients, premises, staff, clinical supplies, the software the clinic runs on — and the books keep their accounts in pounds.

The clinic app keeps it fed

An appointment is billed and the invoice is raised in the books as the work is done, so nothing waits for a month-end session of keying. The clinic app keeps the document reference, so the invoice list shows what each charge became in the accounts.

VeriPath Health Clinics — the invoice list: each invoice carrying its accounting document number, with an Accounting link on the charges already posted to the books

Open one and the invoice carries its accounting document number in the books, beside the button that opens that very invoice — signed in with the login the practice already uses.

VeriPath Health Clinics — one invoice: the practice, the patient, the charge and its line item, and the button that opens the same invoice in the accounting system

Appointment types carry their accounting service, so a new consultation is priced once and billed the same way every time, whoever books it.

Each clinic's own books

One company per clinic, in its own instance, with its own users and its own login. Nothing is pooled with another clinic's figures, and the accountant works in the clinic's books rather than in a report the clinic exported for them.

If the clinic keeps its own accounting software

Nothing here insists on a move. Any list or any report exports as a CSV file — the invoices, the payments, the customers, the ledger, a month's report — and goes straight into QuickBooks, Xero or whatever the accountant already runs. The books hold the detail that export needs, so changing accounting software is a file rather than a project.
